1. INTRODUCTION
1.1. What is a QR Catalog?
A QR Catalog is a convenient digital catalog that provides customers with access to an up-to-date list of products or items through a QR code. Thanks to this format, visitors can easily view available items, prices, and current promotions without using printed materials.
The presence of a QR Catalog ensures customers quick and convenient access to information, improving service quality and increasing loyalty.

1.2. How does the QR Catalog work in the Kavapp system?
The QR Catalog is part of the Kavapp automation system and is included in the L tariff plan.
Operating principle:
- The administrator configures the catalog in the Kavapp Admin personal account.
- The system generates a QR code for the store.
- The QR code can be placed in areas convenient for customers: near cash registers, in order pickup zones, at the store entrance, on promotional stands, or on the website.
- The customer scans the code with a smartphone camera and instantly gains access to the catalog in the browser.
- Any changes made in the catalog are automatically displayed in real time.
1.3. Advantages of using the QR Catalog
- Customers can browse the catalog before visiting the store or while on-site.
- No need to install additional applications — the catalog opens directly in the smartphone browser.
- Any changes (prices, new items, promotions) are instantly reflected in the QR Catalog.
2. Step-by-Step Setup of the QR Catalog in Kavapp
2.1. Registration in the System and Access to the QR Catalog
- Register your personal account in Kavapp Admin via the link admin.kavap.
- Set up the Items of your point of sale. To do this, add Items through the side menu Kavapp Admin → Items → Products → Add Product.
- When filling in the Products section, activate the option “Use in QR Catalog” — fields for parallel completion of the digital catalog will appear.
- If you have already filled the database completely and are now proceeding to set up the digital catalog afterward, go to the “QR Catalog” section and configure it. It is located in the vertical side menu Kavapp Admin → Items → QR Catalog.
2.2. Store Information
At this stage, the administrator sees the list of all points of sale (stores) for which the QR Catalog can be activated and configured. The setup is performed in the section QR Catalog → Store Information.
Main features in this section:
1. Viewing all available points of sale (stores)
This section displays the basic data for each store:
- Store name — copied from the settings in the Points of Sale section.
- Address — also imported from the store’s settings.
- QR Catalog status — the switch “Enable QR Catalog” allows you to quickly activate or deactivate the QR Catalog for a specific location.
2. Viewing and managing the QR Catalog
For each individual store, you can perform the following actions:
- Preview catalog — view the catalog as it will appear to customers.
- Download QR code — downloads the image of the QR code, which can be printed and placed in the store for customer scanning. You can also customize the appearance of your QR code here.
- Edit — opens the form for editing store information (name, address, image, etc.). By clicking the camera icon, you can upload a logo or an interior photo to be displayed in the QR Catalog.
3. Enabling the QR Catalog for a specific store
The QR Catalog can be enabled using the switch located near each store block in the upper right corner:
- If the switch “Enable QR Catalog” is active — the digital catalog for this store will be available for customer viewing via the corresponding QR code.
- If the switch is disabled — the QR Catalog will be unavailable, even if it has been configured.
2.3. Creating Categories and Subcategories of the Catalog
At this stage, the primary structuring of content for the QR Catalog takes place — categories and subcategories are created, to which product Items (goods, etc.) will later be added. This is an important step for building a logical navigation structure within the store catalog.
Main elements:
1. Categories
A category is the main group that unites items of a specific type (for example, “In-house production,” “Products,” “Accessories,” “Kitchen furniture,” etc.). Each category is a separate clickable block.
- Clicking the “Add category” button opens the form for creating a new category.
- Next to each category, there is a ✎ (pencil) icon — clicking it allows you to edit the category name.
2. Subcategories
Each category can contain several subcategories. They help to further structure the catalog. For example, within the “Kitchen furniture” category, there may be subcategories such as Kitchen sets, Kitchen cabinets, Kitchen tables, etc.
- Each category displays a separate section for subcategories.
- Clicking the “Add subcategory” button (with the “+” symbol) allows you to create a new subcategory.
- The ✎ icon next to the subcategory name allows you to edit its title.
Important notes:
- All categories created at this stage will later appear in the catalog filling interface — this is where products and other items are added.
- Categories and subcategories determine how the catalog is displayed in the client’s QR interface: the clearer and more structured they are, the easier it is for customers to find products in the catalog.
- Category names should be clear and correspond to the store’s assortment.
2.4. Catalog Filling
At this stage, the administrator defines specific Items for the QR Catalog and distributes them across the appropriate categories and subcategories created earlier.
Descriptions and tags are also specified here. If necessary, Items can be filtered by groups or by the source of addition.
Interface and filtering
At the top of the window, the following filters are available:
- Group — corresponds to the item groups created in the section Side Menu → Items → Item Groups. For example: Furniture, Dishes, Household goods, etc.
- Subgroup — corresponds to the subgroups created in Side Menu → Items → Item Subgroups. For example: Kitchen sets, Office furniture, etc.
- Search — manual search by item name.
Linking items to the QR Catalog:
After selecting an item with the corresponding ✔️ checkbox, the editing form opens. There you can configure the following parameters:
- Category — selected from the available item categories.
- Subcategory — belongs to the selected category.
- Description — a short description of the product that will be visible to customers.
- Label — available options:
- No label
- Bestseller
- Promotion
- New arrival
- Seasonal offer
- Offer of the week
Tags and allergens
Using the “Add tags” button, you can select existing tags or create new ones (e.g., For children, Handmade, Test tag).
After making changes, click “Save”, and the item will be added to the QR Catalog in the required structure.
2.5. Catalog Structure
At this stage, you can view, edit, and organize the already created QR Catalog for each store. Here, the administrator can see the full hierarchy of categories, subcategories, and items, as well as change their display order or limit their availability by time.
Main interface elements:
1. “Points of Sale” filter
Using the dropdown list, you can select a specific point of sale or view the catalog structure for all stores.
Note that it is currently not possible to configure entirely different catalogs for different points of sale. You can only disable selected items, but the catalog structure remains shared across all stores in your network.
2. List of categories and subcategories
On the left side of the window, a tree structure of the catalog is displayed:
- Main categories (e.g., Furniture, Dishes, Household goods).
- Nested subcategories (e.g., Kitchen sets, Office furniture) that belong to specific categories.
- Each element has a “dots” icon — this means items can be moved using drag-and-drop to change their order.
3. “Add Item” button
When clicked, it opens the “Catalog Filling” screen, where the administrator can link a product item to a specific category and subcategory.
4. Creating new catalog elements:
+Add category — opens a form where you must specify:
- Category name.
- Image (optional).
- Relevance time — the days and hours during which this category will be visible to customers in the QR Catalog.
The relevance time allows you to create temporary catalog sections such as Weekly new arrivals, Friday special offers, Limited-time items, etc.
+Add subcategory — the subcategory form is almost identical to that of a category, except it has no image upload option and includes an additional field for selecting which category the subcategory belongs to.
You can also activate the “Availability” switch here. If it is turned off, the category item will appear grayed out and inactive. This feature is useful when an item is temporarily unavailable, for example, due to a lack of ingredients.
